THE CHALENGE

Managing a merger transition with two organisations, two audiences, and a firm deadline

Mergers in the health innovation sector carry specific communications risks. Two organisations with separate identities, audiences, and digital infrastructures need to be brought together in a way that is coherent to the external world without disrupting the relationships each has built independently.

flanders.bio and MEDVIA had both operated as established health innovation clusters with their own member networks, communications channels, and databases. The merger into Biovia required decisions about which tools and platforms to retain, how to manage the transition period externally, and how to communicate the new identity clearly and consistently from day one.

These decisions needed to be made quicklyd. The communications team needed an external partner who could assess the existing landscape, make concrete recommendations, and help implement the transition strategy without delay.

Two separate digital infrastructures

flanders.bio and MEDVIA each had their own databases, social media accounts, and communication systems. Decisions about which to retain, migrate, or consolidate needed to be made before launch.

Members, partners, and sector stakeholders needed to understand what the merger meant for their relationship with the new organisation, without confusion or loss of confidence.

No in-house bandwidth

OUR APPROACH

Channel analysis, strategy, and phased transition communications

We worked across the pre- and post-merger period with a clear structure: analysis first, then recommendations, then a tactical plan for the Biovia team to implement.

LinkedIn channel analysis

We began by establishing the look and feel of the website. Discovery Studio needed a presence that felt credible, clean, and professional within the life sciences space. We presented several colour palette proposals, each tailored to the tone of a scientific services company, and worked closely with their team to align on a visual style that matched their identity.

Newsletter platform audit

We audited both newsletter platforms to understand subscriber lists, content performance, send cadence, and technical setup. We identified overlap, inefficiencies, and opportunities to consolidate, and provided recommendations on what to retain, optimise, or retire.

Pre-merger recommendations

Based on the analysis, we provided clear, actionable recommendations including suggested experiments, improved content planning, and strategic advice on channel consolidation.

Post-merger tactical communication plan

Once the merger was official, we developed a tactical communication plan outlining clear steps for managing the transition across LinkedIn, newsletters, websites, and search. The plan covered how to phase out legacy channels while preserving reach, how to handle redirects, and how to maintain visibility during the rebrand.

GDPR and paid media guidance

We provided GDPR-compliant guidance for the newsletter transition, helping Biovia communicate transparently and lawfully with their existing audience. We also advised on SEA and LinkedIn strategies to manage branded search traffic and maintain visibility during the transition period.
